Job Description

The Senior Facility Executive is responsible for overseeing the day-to-day operations of facility management. This role ensures that all building systems, including mechanical, electrical, plumbing, and safety, are functioning efficiently. The Senior Facility Executive also leads a team of facility staff, coordinates vendor services, and manages maintenance schedules to ensure the facility is well-maintained, secure, and compliant with all safety standards.

Key Responsibilities:

Facility Operations:

  • Oversee and manage day-to-day facility operations, ensuring that building systems (HVAC, electrical, plumbing, etc.) are operating efficiently.
  • Regularly inspect buildings, equipment, and systems to identify any potential problems and take corrective action.
  • Oversee housekeeping, pantry, cafeteria and housekeeping services.
  • Coordinating and managing internal events.
  • Issue ID and access cards as per company standards.
  • Handling front office/reception

Team Leadership:

  • Supervise and mentor facility staff, including janitors, technicians, and security personnel.
  • Provide training and guidance to team members to ensure effective and efficient service delivery.
  • Coordinate staff schedules and ensure proper coverage for daily operations.

Vendor and Contractor Management:

  • Coordinate with external vendors and contractors for maintenance, repairs, and projects.
  • Ensure quality service delivery as per SLA and within set budgets.
  • Oversee the work of contractors and vendors to ensure projects are completed on time and within scope.

Maintenance and Repairs:

  • Develop and implement a preventive maintenance program to minimize downtime and ensure equipment reliability.
  • Track and schedule repairs and maintenance to ensure minimal disruption to business operations.
  • Maintain records of all maintenance activities, equipment, and building services.

Safety and Compliance:

  • Ensure compliance with health and safety regulations, including fire safety, emergency procedures, and environmental standards.
  • Conduct regular safety audits and fire drills to ensure preparedness.
  • Address safety hazards promptly and ensure the facility is equipped with necessary safety equipment.

Budget Management:

  • Assist in budget preparation and monitor expenses to ensure cost-effective facility management.
  • Prepare reports on facility operations, maintenance activities, and expenses for management review.
  • Identify cost-saving opportunities and implement initiatives to optimize resource use.
  • Raising PR’s and Processing the invoices on time and ensure timely payment to vendors.

Inventory and Supplies Management:

  • Monitor and manage inventory of facility-related supplies and equipment.
  • Ensure timely procurement of necessary materials and maintain vendor relationships for supply replenishment.

Client/Stakeholder Management:

  • Serve as the primary point of contact for all facility-related inquiries from internal and external stakeholders.
  • Address facility-related complaints and resolve issues in a timely and professional manner.

Qualifications and Skills:

  • Education:Bachelor’s degree/ Diploma in Facility Management, Electrical/Mechanical Engineering or a related field.
  • Experience: Minimum of 5-7 years of experience in facility management, with at least 2 years in a leadership role.
  • Strong knowledge of building systems, maintenance procedures, and safety regulations.
  • Excellent communication, and interpersonal skills.
  • Strong problem-solving abilities and attention to detail.
  • Proficient in facility management software and Microsoft Office Suite.
  • Ability to handle multiple tasks and prioritize effectively.
  • Experience with sustainability and energy-saving initiatives.

 

Total Experience Expected: 03-07 years


Qualifications

Bachelor’s degree/ Diploma in Facility Management, Electrical/Mechanical Engineering or a related field.
